2025-26 Meet Manpower & Committee Agreement
 

 

HVA Current cannot be successful without support from all of its families - both on and off the pool deck! Meet Manpower volunteering is an important duty that all swim families must assist with. The goal of our swim team is for our parents to show the best example of support for our swimmers. Always step up and support your swimmer and all other team members.

As a swim team, we ask families to step up in two ways: Filling Meet Manpower and Team Committee assignments. 
 

● Meet Manpower ●

Each swim meet that our team attends or hosts, is made up of sessions that require volunteers.

Non HVAC-Hosted Meets
Non HVAC-hosted meets generally only require our team to provide timers (about a 2-hour shift). About a week before each non-hosted meet, our team will be assigned timer shifts by the host team. Each family that is attending that meet will be asked to participate in filling timer shifts. Parent coordinators for each group will help make sure our timing assignments are filled and keep track of families who are volunteering. Expect to fill timing shifts at all non-hosted meets that your swimmer attends. All families are expected to help out!

HVAC-Hosted Meets
Each HVAC-hosted meet will require the participation of all families and most shifts will be 4-5 hours long. For meets that HVAC hosts, the types of jobs will include officials, marshalls, head timers, awards, hospitality, runners and more. 

As such, families will be required to fill a minimum number of Meet Manpower sessions per year by volunteering at HVAC-hosted swim meets. 

The number of Meet Manpower sessions required is based on 1 swimmer on the team. Families with more than 1 swimmer on the team are not required to fill additional sessions unless volunteering to do so. Families will fill the requirements for their highest level swimmer during each season.

All families that have a swimmer entered in a meet must support the team in the following way:

  • For a meet that is 1 or 2 days long and is timed finals - all entered families MUST time a minimum of one shift
  • For a meet that is 3 or 4 days long and has preliminaries and finals, all entered families MUST time two or more shifts
  • If your swimmer is entered in the last events of a session, please sign up for the last shift
 

Parents training as officials at non HVAC-hosted meets will receive volunteer credit for the number of sessions they train.


 
 

HVAC-hosted Meets

All families will be expected to volunteer at HVAC-hosted meets, regardless of your swimmer’s attendance. 

 

Jobs include: officials (training or certified), marshalls, head timers, awards, hospitality, runners, etc.


 

Signing Up for Sessions

Meet Manpower sign-ups will be available approximately one week before each meet. Timer assignments for our team at non-hosted meets are often not communicated to us until a few days before each meet - sign ups will be available as soon as we receive this information. 
 

HVAC-hosted Meet Dates for 2025-26

The meet information below is subject to change. HVAC reserves the right to increase the required # of sessions per family based on securing additional HVAC-hosted meets. 

December 12-14, 2025

March 20-22, 2026

May 15-17, 2026

 

Unfilled Sessions

At the end of Short Course (March 2025 with final billing on April 1) and again at the end of Long Course (June 2026 with final billing July 1) seasons, you will be billed $100 per unfilled session in accordance with the requirements listed above. If, at the end of your swimmer(s) participation with the team for the 2025-26 season, you have not had the opportunity to fill all of your required sessions, the HVAC Board may be able to offer additional volunteer opportunities to meet your requirement. 

If your swimmer does not participate in the entirety of Short Course or Long Course season(s), your requirements may be prorated depending on the volunteer needs during the months your swimmer participated. 

If you have concerns about being able to fill your Meet Manpower obligations due to extenuating circumstances, please contact the HVAC Board (bod@hvacurrent.org).


 

● Team Committees ●

The HVA Current swim team is a parent owned and operated non-profit organization.  In order to run a successful team and business, committees are needed to carry out tasks/projects.  Active committees are an essential part of the success of the swimmers and team both in the pool and financially. 

EVERY FAMILY must sign up to be a member of a team committee in one of the following positions: Committee Chair, Organizer/Worker or a Worker. You will select your top two committees during registration and will be assigned to one.
 

Committee Chair ($50 credit toward your family’s fundraising requirement)

Leader of the committee. Committee chairs should have swimmers who intend on swimming both short- and long-course seasons. The chair schedules and runs committee meetings. Ensures that projects are being carried out correctly and in a timely manner. Email president@hvacurrent.org if you are interested in being a committee chair.

Organizer/Worker

Part of the group of parents that discusses ideas related to their committee that benefit the team. They decide how tasks approved by the Board will be successfully completed. These parents can also do the work to carry out the task/project.  

Workers

After the committee organizers design a plan to carry out a project, a SignUp Genius and/or direct communication by the committee members will take place so that Worker families can sign up to complete the project. 

 

● Agreement ●

 

I have read the above Volunteer Agreement and acknowledge that I am expected to fulfill the team’s volunteer obligations listed above, and that I will be responsible for $100/session for any session(s) not filled at the end of my swimmer(s) participation unless an alternative volunteer opportunity is presented by the HVAC Board.*
