2026-27 Meet Manpower & Committee Agreement
HVA Current cannot be successful without support from all of its families - both on and off the pool deck! Meet Manpower volunteering is an important duty that all swim families must assist with. The goal of our swim team is for our parents to show the best example of support for our swimmers. Always step up and support your swimmer and all other team members.
As a swim team, we ask families to step up in two ways: Filling Meet Manpower and Team Committee assignments.
● Meet Manpower ●
Each swim meet that our team attends or hosts, is made up of sessions that require volunteers.
Non HVAC-Hosted Meets
Some non-HVA meets require parent volunteers, HVA manpower committee will understand these requirements normally 1-3 days prior to the meet. The committee will assign your family volunteer duties. If families do not show up for the assigned session, they will be fined $50. If the announcer requests volunteers the day of the event and you are able to volunteer during that session, it is expected the parents in attendance will volunteer; doing so will be duly noted for future meets and consideration during assignments.
Timer Positions: Parents will be assigned as a timer for either a partial or a full session. If a parent is available for only part of a session (e.g., arriving after the start or departing before the end of a session), it is the responsibility of the parent to inform the HVA Manpower Committee via email of this issue at least 4 days before the first day of a meet.
Officials: The group of officials who run a meet is assembled by the Meet Referee and the Officials Chairs of the host and participating teams of each meet. These team Official Chairs receive availability information from their teams' parents and pass this information to the Meet Referee and the host team Official Chair. Since the HVA Manpower Committee cannot assign HVAC Officials, Officials will continue with the established manner in which to sign up to officiate. Each HVAC Official will be responsible for notifying the HVA Manpower Committee of any session work by sending an email at least 4 days before the first day of a meet.
HVAC-Hosted Meets
Each HVAC-hosted meet will require the participation of all families. For meets that HVAC hosts, the types of jobs will include officials, marshals, head timers, awards, hospitality, runners and more.
As such, families will be required to fill a minimum number of Meet Manpower sessions per year by volunteering at both non HVAC-hosted and HVAC-hosted swim meets.
The number of Meet Manpower sessions required is based on 1 swimmer on the team. Families with more than 1 swimmer on the team are not required to fill additional sessions unless volunteering to do so. Families will fill the requirements for their highest level swimmer during each season.

Signing Up for Sessions
Meet Manpower sign-ups will be available approximately one week before each hosted meet. Timer assignments for our team at non-hosted meets are often not communicated to us until a few days before each meet.
HVAC-hosted Meet Dates for 2026-27
Dates for 2026-27 will be announced once they are finalized.
All families are expected to participate in all HVA hosted meets. If you are unable to participate, please notify the Manpower Committee Chair prior.
HVAC is planning on hosting 2 meets this upcoming season. It is required that parents volunteer in all HVA – Hosted Meets to successfully host other teams. HVAC is considering a 3rd meet pending some additional details.
If you are unable to attend a HVAC-hosted meet, your required manpower sessions will be moved to the future HVAC-hosted meet. If there are no more HVAC-hosted meets, you will incur an additional charge.
Unfilled Sessions
At the end of Short Course (March 2027 with final billing on April 1) and again at the end of Long Course (June 2027 with final billing July 1) seasons, you will be billed $100 per unfilled session in accordance with the requirements listed above. If, at the end of your swimmer(s) participation with the team for the 2026-27 season, you have not had the opportunity to fill all of your required sessions, the HVAC Board may be able to offer additional volunteer opportunities to meet your requirement.
If your swimmer does not participate in the entirety of Short Course or Long Course season(s), your requirements may be prorated depending on the volunteer needs during the months your swimmer participated.
If you have concerns about being able to fill your Meet Manpower obligations due to extenuating circumstances, please contact the HVAC Board (bod@hvacurrent.org).
● Team Committees ●
The HVA Current swim team is a parent owned and operated non-profit organization. In order to run a successful team and business, committees are needed to carry out tasks/projects. Active committees are an essential part of the success of the swimmers and team both in the pool and financially.
EVERY FAMILY must sign up to be a member of a team committee in one of the following positions: Committee Chair or Worker. Each member is expected to participate in the season. Based upon the number of events expected for each committee, the number of people in a committee will be adjusted accordingly. Questions regarding level of participation can be directed to the board.
Committee Chair ($100 credit off of the family fundraising requirement)
Leader of the committee. Schedules and runs committee meetings. Ensures that projects are being carried out correctly and in a timely manner. Sign off on members' participation in the committee. Email president@hvacurrent.org if you are interested in being a Committee Chair. Committee Chairs should be year-round swim families who plan to participate in all or most of the 2026-27 swim year.
Worker
Part of the group of parents that discusses ideas related to their committee that benefit the team. They decide how tasks approved by the Board will be successfully completed. These parents can also do the work to carry out the task/project.
Failure to participate in a committee may incur a $100 penalty at the end of your membership with HVA Current.
● Agreement ●
I have read the above Volunteer Agreement and acknowledge that I am expected to fulfill the team’s volunteer obligations listed above, and that I will be responsible for $100/session for any session(s) not filled at the end of my swimmer(s) participation unless an alternative volunteer opportunity is presented by the HVAC Board. I may be responsible for a $100 penalty if I do not participate in a HVAC committee.
