2025-26 Fundraising Agreement

HVA Current’s fundraising efforts comprise a large part of what makes your HVAC experience successful. Through fundraising, the team will be able to make sure that we are providing the best opportunities for your swimmer(s) to grow and succeed. 
 

The fundraising obligation per swimmer is listed below:

If you have more than one swimmer on the team, your fundraising obligation begins at the highest-level group your swimmer is in plus 50% of your next highest-level swimmer. After the second swimmer, additional swimmers do not increase your fundraising obligation.

For example, if you have 3 swimmers: a Premium swimmer in Tsunamis, a Premium swimmer in Waves, and a FLEX swimmer, your obligation would be $825 for Tsunamis + $192.50 for Waves + $0 for FLEX for a total of $1017.50 or $92.50/mo. 

Fundraising Obligation Accrual
When swimmers join the team, the total amount of their family’s obligation will be applied to their account. Swimmers that join and/or leave within the year will have their obligation prorated from the beginning of their first billing month to the end of their last billing month. As families participate in fundraising, the amounts fundraised will reduce the family’s balance.

Any new family who has not previously registered a swimmer with HVAC will not be required to participate in fundraising for the first three months of their swimmers’ membership, whether they join as FLEX or Premium swimmers. After three months, these families will be responsible for the prorated fundraising obligations based upon the above parameters.

Fundraising obligations are set when the swimmer joins the team and will not change if the swimmer advances to a higher group during the 2025-26 swim year. Fundraising obligations will reset at the beginning of each swim year.

HVAC Families have 3 Options to fulfill their fundraising obligations:

 

Option #1: Lump-Sum Payment to Opt-Out of Fundraising

HVAC Swim Team families that wish to opt-out of fundraising efforts may fulfill their fundraising obligation by paying the amounts listed above calculated as a lump-sum payment for the swim year. 

Fundraising opt-out payments are non-refundable and must be made within 30 days of the swimmer’s team registration. Payments can be paid via cash/check or via online transaction through your PoolQueue account (2.9%+.30 transaction fee).

Option #2: Monthly Fundraising Obligation Added to your Practice Fee Billing

HVAC Swim Families may elect to add their fundraising obligations as a monthly payment processed at the same time as monthly practice fees (the first of the month). Note: any funds raised through fundraisers in Option #3 will not be credited to accounts if this option is chosen.

Option #3: Participating in various team fundraisers

HVAC will identify and run various team fundraisers throughout the year. Monies raised will be applied toward the family’s fundraising obligation. Funds raised that go above and beyond the family’s fundraising obligation are always appreciated but are not applied as a credit to accounts.

We have several fundraisers planned for the year, and more may be added:

  • Current Challenge (Fall 2025)
  • Polar Plunge (March 2026)
  • Raffle (Spring/Summer 2026)
  • Sponsorships 
    • Sponsorships - Reach out to the Fundraising Committee or Team Admin if you are interested in raising funds through attracting Sponsorships for the team. The team has a Sponsorship package that can be used when contacting organizations. This package is available to view on the team website.

      For any sponsorship a family helps secure for the team, the family will receive a credit of 10% of the sponsored amount, up to $500, toward their fundraising obligation.

 

At the end of your swimmers’ membership participation you will be billed for any funds not paid out or raised through team fundraisers. Families whose swimmer(s) leave before the end of the year will have their fundraising requirement prorated as mentioned on page 1. For families participating in both Short Course and Long Course seasons, final invoices will be prepared in June 2026 with a July 1 final billing.

 

I have read the above Fundraising Agreement and acknowledge that I am expected to fulfill the team’s fundraising obligations via one of the approved methods listed above, and that I will be responsible for any fundraising obligations not paid for or raised via fundraisers, at the end of my swimmer(s) membership participation for 2025-26.*
